Breckenridge Software Technologies strategically entered the Wine Industry in the late 1990's with a single operations module. From that point, BSTI has received valuable input from winery operations across the country and have now created one of the most complete, integrated, and comprehensive winery management software packages in the United States. The once single operations module has now evolved into a fully integrated operations, inventory management, and accounting software package.
BSTI is able to offer tailor made software systems for winery operations based on wine varietal, juice, additional fruit type, and whether primary operations involve case goods or bulk wine. In addition to product type, BSTI offers software packages specifically designed for operations being wholesale, retail or both.
With everyday passing, an increasing number of wineries are focusing on software solutions to assist them in all aspects of their business. These tasks range from the repetitive, tedious record-keeping to lot and cost tracking to complex FDA and ATF/TTB government reporting requirements. Listed below are several modules of BSTI's Winery Management Software along with a brief description.
►Cellar Operations and Inventory Processing
Receive, process, blend, add, top, bottle, transfer, adjust, etc., any product by varietal/product, lot, location, and container. Track juice, bulk wine, wine making components, raw materials, case goods, bottles, and any tasting room products. Create work orders and record actual process activities. Create bill-of-materials models for repetitive functions. Fully supports all bulk wine activities and bottling activities. Track by actual lot cost, standard cost, insurance value or alternative valuation. Meets TTB and FDA tracking requirements. Full reporting by varietal/product, lot, location and process.
►Lot Tracking and Winemaker Notes
Track any product by lot; grapes, juice, wine, case goods, yeast, filters, corks, bottles, etc. Know their source, date received and which ones where used for each specific process. Unlimited, user-defined fields can be established for tracking qualitative and quantitative tests by lot (numeric and text-based fields). Full historical records, chronologically-based, are maintained for as long as you wish.
►Barrel Tracking
Identify each specific barrel, track all barrel qualities (i.e. oak type, toast level, maintenance performed, maintenance planned, etc.) position barrels into barrel groups, track activities into each barrel/barrel group. Utilize bar-coding, by barrel, for work orders and/or inventory activities.
►Vineyard Tracking
Record the specific vineyard/block or grower/vendor from which the grapes/wine came from, as well as the contract number/invoice number, date, and method of transportation. Enter the number of tons/gallons received and/or the number of gallons crushed by lot.
►Orders, Shipping, Invoicing
Enter orders, create pick slips and bills-of-lading, and print invoices all with full editing functions. Flag advance orders/allocations, based on status codes. All forms can be generated on plain paper, with the opportunity to import scanned logos and letterhead. Segment your customers in as many user-defined segments as desired; all with full reporting capabilities. Track by type of customer, sales person, region, marketing program, event, etc… Automatically supports multiple price levels and discount levels, by product and customer.
►Advance Orders and Allocations
Enter orders for products that have not yet been produced, and that may not be produced for some time. Print confirmations for advance orders received. When appropriate, create consolidated shipping orders, permitting quantity changes and/or product substitutions. Report on advance orders/allocations against production to determine potential over/under sales.
►Wine Club Orders
Create the same order for multiple customers, by selecting the product(s) and then selecting the customers for which the order should be shipped. This module will automatically create the multiple orders.
►P.O.S Tasting Room Orders
Employ a computer terminal in your tasting room, tied to your network, to enter orders, for any and all products, as well as enter payment information. Bar code scanners can be utilized for this application. For high traffic applications, a computerized cash register(s) should be implemented; data from the register(s) can be downloaded to the primary data files.
►Government Reporting
Wineries face many government reporting requirements. BSTI software can generate information required and supporting documentation for a variety of TTB and FDA reports. This information is simply a by-product of day-to-day operational data entry, as designed by the software. This information can be generated on an on-demand basis or on regular intervals.
►TTB Form 5120.17
Report of Wine Premises Operations: Directly based upon the entries made with the inventory activities, and potentially the transfer and order processing functions, BSTI software can automatically create the report required, in the format that is required by the TTB. Special consideration must be applied regarding the entries made within the inventory activities function and must be acknowledged towards the ramifications to the TTB report.
►Labeling Audits
A winery must submit, for approval, any new label, or change to a label, that is intended to be put on a bottle (front, back and neck). Requirements are mostly for what must be on the label, and what cannot be on the label. BSTI software supports the auditing records to prove that what is on the label is what was actually bottled. This means having all processing records from bottling back to the grape (or juice). This also means having updated compositions calculated per process.
►Excise Tax and Bond Requirements
A winery must pay an excise tax on wine, at least at the time of invoicing. The excise tax calculation is based on the number of gallons shipped (or moved to Tax Paid). Actual tax payments, and tax credits, are determined by gallons shipped in a reporting period. Frequency of reporting and tax rates are based on a graduating scale, first determined by Bond requirements. Bond requirements are determined by the maximum gallons of wine on-hand at any point during the year. Wine is declared as Produced (therefore into Bond) at the time it is removed from the fermenter or at first racking (whichever is first). Bottled wine can be physically moved to a Tax Paid location, which triggers taxes due. Bulk wine can be transferred to another bonded location, without tax triggering, but forms must be sent to TTB. BSTI software provides reports on the gallons involved during a reporting period, but does not automatically generate the tax/bond forms.
►FDA/Bio-Terrorism Act
The Bioterrorism Act requires that all food processors (including wine), must maintain records for all ingredients and materials used in food production, and includes the source and date received. Should the FDA request information, records must be presented within 24 hours of request. All ingredients used and finished products must be tracked by lot. Each activity requires which, and every, lot used. Materials used in process that have contact with product, must be tracked by lot. Lot delivery histories must be maintained. At this point, there are no specific forms or formats designated by the FDA; just that the data is available. BSTI software supports the FDA tracking requirements and reports can be generated immediately.
